Web portal · apps · partners · commissions

If every new partner means more admin, the market isn’t your limit.

A multi-level partner network, own prices and margins, chain ordering, warehouse, commission settlement, training and a customer portal – in one system, in eight languages. This isn’t theory: we designed and built XXL Sales OS, and every feature shown here runs in production.

Six signs you have outgrown off-the-shelf software

  • „We enter the same data in four places.”

One system where the shop, warehouse, invoicing and partners all work from the same data.

    → Entered once, valid everywhere.

  • „It takes two days to send a quote.”

Quote request forms, prices per partner, automatic calculation.

→ Quotes in hours, not days.

  • „We don’t know where an order stands.”

Traceable order status across the whole chain, with notifications.

→ No more phoning for status updates.

  • „We calculate commissions in Excel at month end.”

A commission engine that books every sale automatically and settles by period.

    → Traceable settlement without disputes.

  • „The system lives in one colleague’s head.”

Documented processes, permissions and logs – the knowledge lives in the system, not in one person.

→ No single point of failure.

  • „Off-the-shelf software doesn’t fit how we work.”

Custom software where the process is your competitive edge – and off-the-shelf where that is enough.

→ The software adapts, not you.

The network model

Every level runs its own business. The network is still one.

XXL Sales OS treats each sales level as a real business: each has its own prices, margins, warehouse, team and customers.

  1. Network owner

Publishes products, prices and rules, and sees partner activity on a map.

  2. Distributor

Takes over products, adds its own margin and builds its own reseller network.

  3. Reseller and integrator

Buys from its own marketplace, serves its own customers and employs its own sales agents.

  4. Sales agent

Sells at the price set by their manager – and earns a commission automatically on every sale.

  5. End customer

Sees purchased products with serial numbers, reports faults and pays online.

Chain ordering: goods take the shortest route

Chain ordering: goods take the shortest route

When an end customer orders, the system searches upwards for the nearest level with stock and ships from there straight to the final address. Financially the chain stays intact: every level gets its own order, everyone books their own margin, and the sales agent’s commission is created automatically.

Delivered features

What we have already built in XXL Sales OS

Every module builds on the same network – so lead protection knows who partners with whom, the commission engine knows who sold the product, and training reaches wherever the product goes. The screenshots show the system running on demo data.

  • Messages and announcements

    Messages and announcements

Built-in messaging with attachments and machine translation, targeted announcements – on mobile too.

What you won’t find elsewhere

  • An SLA clock that pauses

While a ticket waits for parts, the SLA clock stops – no false delays and no forgotten cases.

  • Exams as a product gate

A product can’t be sold until the partner passes its exam; when the certificate expires, the product locks again.

  • “How my partners see it”

You can check, level by level, exactly what the distributor, reseller or sales agent sees in the marketplace.

  • Hierarchy lock

If someone higher up blocks a product from being passed on, it stays blocked for everyone below – the stricter rule wins.

  • Retroactive content sharing

Partners who join later automatically receive the documents, questionnaires and courses.

  • New languages without a developer

Admins can add a new interface language with machine translation; it becomes selectable only after a successful check.

Five steps, a fixed price after the specification

  1. 01

    Free conversation

    1–2 hours

We look at where the company loses time and money today, and whether a custom system pays off.

  2. 02

    Fixed-price specification

    1–3 weeks

A written specification including the exceptions, plus a fixed quote. The document is yours even if you continue with someone else.

  3. 03

    Development with testable versions

a new version every two weeks

On real data, with data migration and integrations – you don’t find out months later what you got.

  4. 04

    Go-live and training

    gradual launch

A gradual launch with a user guide and training.

  5. 05

    Operation and development

    ongoing

Monitoring, backups, updates – and the system grows with the company.

Frequently asked questions

Why is the specification paid?

Because the fixed price is based on it. A thorough specification also captures the exceptions – so the project doesn’t end up costing double.

How much of our time does the project need?

Typically 6–10 hours of meetings during the specification, then a short review every two weeks.

What happens to our existing data?

We migrate it: import, validation and a comparison with the old system.

Can it work in several countries and languages?

Yes. XXL Sales OS runs in eight languages and twelve currencies, with prices per level and VAT handling based on the buyer’s location.

Can we add a mobile app later?

Yes – we build the system so a mobile app can use the same API and permissions.

Who owns the source code?

You do, together with the developer documentation. You don’t buy software – you acquire an asset.

Let’s start by checking whether it pays off for you.

In one conversation we review your processes and tell you honestly where a custom system helps – and where an off-the-shelf one is enough.
